Newly certified project manager in a small company

A certified project manager is a professional who has a document issued by the PMP or BVOP certification organizations. Certified project managers usually earn higher salaries, have self-esteem, and work in large companies.

Certified project manager in a small company

However, PMP or BVOP certified project managers can sometimes work in smaller companies as well. Let’s look at one such example case.

The very fact that the manager of the company is looking to appoint a certified project manager is an admission that he does not have the necessary knowledge and skills to manage projects. Probably, the person has considered that as an expert in the company’s activity (software development), his specific skillset will be more useful for the general work if it is used precisely to support the implementation and not engaged in day-to-day tasks related to the management of the current project.

Maybe he, as a manager and owner, is simply more interested in dealing directly with what he has worked for most of his life – with programming and does not want to engage in management and control, i.e. prefers to hire a person for this whole, instead of wasting time and energy to learn the complex matter of project management. Certified project managers often use heavy processes and documents

Whichever of the hypotheses is true, the main thing that such a manager and owner will probably expect from me is to relieve him of the tasks directly related to executing, monitoring, and controlling, and not to try to explain to him how to do his job – he and his colleagues are experts in programming and online marketing.

In this line of thinking, given the modest scale of the business, it would hardly be practical to waste valuable time and resources on developing all the possible documentation prescribed by the PMBOK manuals. Certified Project Managers love PMI’s big documentation or BVOP’s bagpipes. It would be even less practical to request that 5-6 other people be appointed in different project management roles in addition to me.

Rather, I will ask to get acquainted with the already concluded contract between our company and the client – it can easily be considered as the Charter of this particular project since it will probably list all the main, key parameters – requirements, scope, goals, stakeholders, and budget.

I will try to distribute roles regarding the implementation of the project between the colleagues in the company – for example, the sponsor and executive sponsor will probably be the managers of the client company and my boss in the company from which I am employed.

Since a project will be carried out for an external client, I will probably think of a short but meaningful communication plan in which to specify the channels for the exchange of information between the interested parties inside the company, to and from the client. Of course once approved by the company manager, the client will also receive a copy for review and approval.

Given the scale of the company and the project, it is likely that many of the responsibilities that in a larger company would be delegated to various colleagues will fall on me as a project manager.

I will probably also have to think about a plan for quality, risk, cost, human resources, and change management. All this will be based on the terms of the concluded contract, or if there is not one concluded yet, I should be an active part of the negotiation process between our company and the client, so that I can insist that all these things are clearly and specifically described and clarified under one form or another.

A well-drafted and detailed contract can easily play the role of a larger part of the project documents and plans listed above when we are talking about a business relationship of a more modest scale and a project with a relatively small scope.

Accordingly, based on the contract and/or project documents, I will develop a WBS and Gantt Chart to describe the project tasks in detail, accompanied by the relevant deadlines, resources for implementation, and stakeholders.

In reality, my main contribution to the implementation of the project will be precisely related to management, monitoring, and control – three functions with which, as I indicated at the beginning, the manager of the company either cannot or does not want to engage.

Probably this will be his main motive for hiring a person like me – possessing good organizational skills. Usually, good programmers are relatively introverted people and rarely boast good management skills and leadership qualities; do not feel comfortable delegating tasks and making difficult decisions ie. when it is necessary to reprimand or even fire a colleague or employee if he does not work in the interest of the realization of the project.

The Certified Project Manager and the software developers

Rarely, good software specialists also possess the necessary soft skills, which are a mandatory requirement when organizing a large group of people and engaging them in a specific project with strictly defined parameters – budget, time for implementation, and resources.

These will be my strong points in my role as a project manager – I probably won’t understand the work in detail (the process of writing code and creating the software platform itself), but I will understand organizing people, managing processes, and creating an efficient and flexible work structure to support those who understand the work to get it done quickly, with quality and on time.

Thanks for your time, I’m glad we’re having this meeting.

After this past week, I now have a better idea of the dynamics in the office, and I think we will quickly get into the right rhythm with the team. I am excited to work here and appreciate the opportunity. I will be happy to discuss the work in detail and specify some details.

For example, how do you prefer us to communicate – by email, phone, or live? It is also important to know how often you prefer to receive updates on the project so that I can be of maximum help to you.

My main concern stems from the fact that I am new to the field and I would like to know if there are established criteria or a system that I can use to monitor the quality of my work myself so that I meet the company’s expectations.

I would appreciate any guidance and help because even though I am confident in my abilities, every beginning is difficult.

Myself, I can say that I love organization and order – in my everyday life, during vacations, and at work, I like to have predictability and a clear plan. I accept unforeseen situations as my dose of spontaneity and I try to quickly include them in the schedule, so deadlines are not a problem for me.

From this point of view, it seems that I have found my career calling. The reason I’m looking for a change in the first place is my desire for development – in the spirit of my new position as a project manager, I can say that my work as an editor is an already completed project and it’s time for a new one.

On a personal level, I like to travel with my family – with a small child and two dogs, good organization is necessary so that we can all enjoy the holiday. And while I don’t have professional experience as a project manager, I dare say that I have quite a lot of personal experience.

I love animals and on the weekends we (my husband and I) often volunteer at a dog shelter. If needed, we are also a foster family – we take in babies and look after them until they are ready to be vaccinated. In general, I’m used to it being noisy around me and a lot of things happening.

I love an active lifestyle and new challenges, and that was the reason I chose to do project management.
